Today, I wanted to speak to you about delegation. Yes, it's a very scary word, guys. This is something that used to make me very nervous, because it involves trusting people. Trusting people to do what you're really good at and then teaching these people how to do other things right that you have done in the past. It's very weird and very hard to do, believe it or not? Now, if you are in a leadership position, delegation is something that you need to do, and the reason is, if we don't delegate, we have no time to do the things that move the needle. We end up doing the $5 jobs instead of the $1,000 jobs. Okay.

Speaker 1:

Now, if you're listening to this, you might not even fully understand what delegation actually means. Some people think that delegation is giving your tasks to somebody else. This is partly true, but delegation is not task reallocation. Delegation is about providing some of your accountability to somebody else to complete the work. In other words, you give them autonomy to make decisions about how to do it, rather than just telling them exactly what to do. If you're telling people exactly what to do and how, then you're not delegating, you're just allocating tasks. Okay, so you can delegate a specific piece of work or a project, or even like a part of your team if you need to like the functional part of your team. But to do it effectively, you've got to be able to step back and let other people have freedom to take it on and make it their own.

Speaker 1:

When you do this, what you'll see versus people just being like work dogs you'll see that people rise to the challenge, they get excited, they take ownership and they start actually stepping up to the job and like getting excited about it. This is why it's very powerful, because so many of us and I actually used to think this that delegation was just like handing over tasks. But when you say to someone, ok, like I'll give you a very simple example social media, social media is something and I've said this all, I say this all the time I don't like doing social media. I would just love to be off my laptop and off my phone, like my dream world is a world that does not have devices in it. Honestly, apart from connecting to my clients, that's all I want to be doing. So I'll happily hand over my social media to someone.

Speaker 1:

Say, I don't know what to do, but I think you do help me. That's delegation, because I don't know what tasks need to be done. I just know that I have this podcast and then this podcast it needs to be turned into reels and stuff. I could just give them that brief. I say just make some reels, I don't know, maybe post every now and then, but this is your bag, you know better than me, better than me, please help.

Speaker 1:

And so that's where delegation becomes really interesting, because you're hiring people who know better than you, and that is the best form of delegation. So, for example, again, I was building pay on to finally built. I don't know how to bloody code, so I had to hire someone to code. That's like I could either spend hours figuring out how to code or could hire someone to do it for me. Right, what would you rather do? So that's where delegation comes in. It's not just saying oh, I need to write this email, I'm going to just send it to my VA to write this email instead. For me, that's just task allocation.

Speaker 1:

But and I can, and I know a lot of you are making excuses in your head right now it's very easy to feel uncomfortable with delegation and that's because it feels like you're giving over control to somebody else. And when you're feeling like this uncomfortable way, when you feel like you can't give over the control, you often overwork and you overcompensate because, number one, you don't trust other people to do the job and, number two, if you give it over, does that mean that you're not as good anymore, like all these weird stories begin Now, the reasons why I didn't delegate in the past were really simple. Like one maybe I like to do the things I do. Like I say I hate social media. I'm going to just go back on myself here. I like creating the videos of myself, like hey, this is what's going on today. Or like taking nice pictures of like things. I like to do those things. Or lack of team capability. So I didn't think that anybody had the right experience to do what I needed them to do, so I just did it myself, which meant I was working way too much.

Speaker 1:

So if you're a bit like I was, you're probably feeling really exhausted and you probably really wish that you had someone to help you, but you don't even know what that looks like. So when you are feeling on the edge of exhausted, like you're like literally like I'm going to die right now, and you know that asking for help like asking for someone to just come and take stuff off your plate would really help. Ask yourself in that moment what does it take for me to delegate this, okay? Is it time? Is it skills? Is it trust? And if it's trust, what don't you trust about the people you can delegate to right now? Okay, so, to spend a bit of time on that, because what I see is A lot of the time.

Speaker 1:

When it comes to the time aspect, you can make time. You just don't want to make time. You could block out an hour and say I'm going to write a brief about this task. I'm even going to create a video and I'm going to say, okay, I don't want to do social media anymore, I'm over this. Here is all my logging details. Here is the last post that we had scheduled. Here's the brand and tone that we want for our content. You could do that. There's nobody else stopping you but yourself.

Speaker 1:

When it comes to trust and figuring out who you don't trust and what you don't trust, do a bit of journaling on that. Ask what don't I trust about these people? Why don't I trust them? What is it about me that makes these people feel like they're untrustworthy? What are the stories you're telling yourself? Figure that out. What does it take for you to trust these people?

Speaker 1:

Then, when it comes to skills, that's simple. It's understanding what skill set that you need to come and to have this work taken off you. When it comes back to the social media example, I need someone who's got a track record of organizing, processing, scheduling content, of growing social media accounts, of creating engaging content and also doing the engagement. You have to know what skills that people need. If you feel like you don't have access to those skills, that's when you start overworking. If you do have access, you do have the resources in terms of funding. How can you identify who has those skills for you in that team that you're in? When you identify what it is that you need to delegate, write it all down in an organized list. So I need help with social media. Then write down I need someone to write the posts, I need someone to engage, I need somebody to spell check, I need someone to create graphics. Write all these things down in their list.

Doesn't have to be organized, then you could use something like the ABC method to prioritize it. Hey, quick 30 seconds before I continue. Now you've got this prioritized list. Figure out what does it take to get this shit off your hands? Right, we need some breathing room here. You need a bit of time. Maybe it takes a proper brief, right? Okay, you've identified. You need a social media person, and here's all the stuff the social media person needs to do To get one in the door. You need to give them a brief. You need to say here's the expectations, here's all the logos. Here's what we can and cannot say okay, you need to do a proper brief, and the easy way to do this I always do it this way with my VA is use a loom video. I don't know if you've got that in your extensions. Just go through a document and talk them through it, and it saves you so much time. You don't need to have a meeting. Maybe you need to hire people.

Speaker 1:

So I just hired an amazing VA. She's called Nya and I love her, hanya and she's literally helped me in so many ways. I really needed support when it comes to creating lists of things, looking at events I need to attend, doing the applications, like all these things that are time consuming, and I was just taking hours doing these things Gonna help me, but in the short term, I feel like it's like a waste of time. Now, nya helps me on that, and so Do you need to hire someone first and then to get this stuff off your hands and delegate? Do you need to be more organized? So, if you are going to bring someone on board, do you need to organize your Google Drive? Do you need to put like an hour aside and create like a marketing social media, google Drive where all the information is, so when somebody does come in, they're able to just get cracking. Do you need to create an Asana calendar with everything that's going on right now, or even a Kanban board?

Speaker 1:

What does it take to get this off of your hands? Now? I can feel your stress, but it's normal. It's scary. I used to have this fear and my biggest fears were always can I afford this? And if you're working in a company, how do I justify this budget spend? And are they actually going to do a good enough job? Right? So there's that trust element there, but you know, the best thing that you can do is remind yourself why you're doing it. I know that things are always a test and I say this all the time. Use the testing frameworks, use your testing mindset. If this person doesn't work out, or this solution doesn't work out, you just change it. Right. It's not set in stone. It doesn't mean that you failed. So you can do this. You don't need to overwork anymore. You don't need to exhaust yourself. You've now got a framework to delegate.
